How to thank a business for donations?

    Our club is holding an event this Saturday, kind of a fun day skills competition. Our club PR guy has been asking around town for some donated prizes that we can give away. His success has been incredible, and has got us some good prizes donated. What I want to know, is how should our club properly thank these businesses for thier generosity. Just a letter of thanks? Or something more formal? Or what? Last year, we only asked one business to donate, and I printed them out a 8x10 photo from the event and wrote Thanks from the club on it etc, then framed it for them. But this yr, we have like 6 businesses... anyone done this before?

    Every year I send out Thank you letters afterwards.. Some company's reguest photo's and I send them.. This year I am going to try and send each one some photo's or at the very least send them a link to where all the pictures will be stored.And give them permission to use them as they see fit....     why not write up a generic letter and just substitute the business name, but since you only have 6, you could also personalize them more to the company, and send a picture of the person(s) who won the donation from that certain business.... just a thought...

    Hehe... I can only dream about an event like that. Ours is a much smaller scale... we are expecting about 12 trucks, and its a super small town so all the businesses know the trucks from town. Thanks for the reply tho. And wow... sure wish I could make it to the BFest!

    I shoulda mentioned some of them... The local Ford dealer, the local Chrysler dealer and GM dealer, Bumper to Bumper, NAPA, local deli meat shop etc.

    A Letter of Appreciation would be nice, Tell the People attending Your Extravaganza, to Purchase from the Dealer's, Business's that have donated. They don't have to spend a $1000.00 buck's, just go in, bye whatever small stuff their lookin for, and say Thank You for giving the Donation's. /forums/images/graemlins/grin.gif

    Formal Thank you letter is a good way to do it. Picture if you can provide it is bonus.

    Remember this is advertising for them. I have helped on some stuff like this and one thing we ask if they are giving something is if they would like to provide a banner that you can hang at the event as some advertising. Offer to send that back if they would like (a 4ft banner is about $50-70bucks depending on how complicated it is) and if they don't want it back and it's an raffle then you can also include the banner as a raffle prize. BFG banners are sought after and at events like Dixie run they are raffled. Winner is just asked to pick up at end of event.

    For our truck show last year we used thank you letters and advertisement at the event and on our website. Inlcuding the accouncement of the donation made as we raffled them off.

    Give them a plaque to hang on the wall. Businesses like for customers to see they are involved with the community.
